Expense Inbox: AI Expense Processing

Expense Inbox uses advanced AI to automatically read and extract information from your receipts and invoices, saving you time on manual data entry.

What Information Is Extracted

The AI automatically identifies and extracts:

Vendor Name - Who you paid (e.g., "Home Depot", "ABC Electrical Supply")

Total Amount - The final amount paid including tax

Date - When the purchase was made

Description - Summary of items purchased (when available)

Supported File Types

The system can process:

PDF files - Invoices, receipts, statements

Images - JPG, PNG (photos of paper receipts)

Multiple files - All attachments are combined into a single PDF

How It Works

  1. Email Received: Your forwarded email arrives with attachments (or just an email body)
  2. File Processing: All attachments and/or the email body are collected, Multiple files are merged into a single PDF
  3. AI Analysis: AI analyzes the content; identifies vendor name, amount, and date; extracts line items and descriptions; and filters out logos and signature images
  4. Data Validation: Checks that required fields are present, validates date formats, and ensures amount is a valid number
  5. Expense Creation: Creates expense in Jobber, attaches the files, and sends you a confirmation email

Tips for Best Results

✅ Clear, Readable Receipts: Use good lighting when photographing receipts, ensure text is legible, keep receipts flat (avoid wrinkles)

✅ Complete Invoices: Professional invoices that include the vendor name, date, and amount clearly work best

✅ Standard Formats: Standard receipt/invoice layouts are easiest to process

❌ What Doesn't Work Well:

  • Handwritten notes (unless very clear)
  • Receipts with heavy damage or fading
  • Screenshots with multiple documents
  • Marketing or other emails without actual receipts

Multiple Attachments

When you attach multiple files:

  • All files are combined into one PDF and attached to the expense
  • The AI analyzes each page and sums the total expense amount (credit memos will count as negative numbers in this calculation)

When AI Can't Extract Information

If the AI can't read certain fields, the system will:

  • Send you an email asking for the missing information
  • You reply with the details
  • The expense is then created
